The Kane Firm is a growing public accounting and business consulting firm which prides itself on providing clients a high level of service, attention and care. The Kane Firm has an immediate opening for a part-time Assistant Firm Administrator. This position will support the Firm Administration Coordinator and will work closely with all members of the firm to provide exceptional support to the firm and its clients.

The firm is looking for a highly motivated candidate to handle a wide range of critical internal and client related functions as well as reception responsibilities in a comfortable Williamsville office. The ideal candidate possesses the capability to interact with clients, advanced computer skills, and a proven ability to see tasks through to their completion. Integrity, confidentiality and maturity are a must for this tight knit office team.

Responsibilities:

  • Greet clients warmly and make sure they are comfortable
  • Answer incoming calls and forward to appropriate contact
  • Intake of client tax documents as well as processing tax returns for delivery to client and/or tax agencies
  • Regularly perform significant and recurring administrative tasks with high degree of initiative and strong attention to detail (i.e. post office, operating office machines, electronic archival etc.)
  • Upkeep of the filing systems with minimal supervision
  • Perform periodic inspections of files to ensure correct placement, legibility, and proper condition.  Obtain files from offsite storage when necessary
  • Compose correspondence from general instructions or independently on routine matters in a highly professional manner
  • Handle confidential matters and materials promptly and discreetly
  • Proofread documents to ensure accuracy of copy, grammar, punctuation and spelling
  • Maintain shared firm calendars
  • Monitor conference rooms to insure they are clean and neat after each meeting
  • Perform additional duties as requested

Qualifications:

  • Prior accounting or law firm administrative experience
  • Experience with multi-line phone system
  • Customer service experience desired

Hours:

  • Typical work week 15 – 20 hours
  • Additional hours and possible weekend hours required seasonally
